Free volunteer hours log template

For volunteer coordinators, school service-hour programs, clubs and churches that need to know who gave how much time, and when. Log each shift on one row; the template totals hours per volunteer and per program, flags who has met the hours goal, limits a report to the dates you choose, and puts a value on the time using a rate you enter.

How the formulas work

Total hours per volunteer with SUMIF

B30=SUMIF($B$8:$B$27,A30,$D$8:$D$27)

SUMIF adds the Hours column only on log rows where the volunteer name matches A30. The ranges are locked with dollar signs so you can copy the formula down the summary list. The name must be spelled exactly the same way in the log and the summary: "Maria Lopez " with a trailing space is a different name to Excel, which is why row 39 shows any hours that did not match a summary name.

Mark which shifts fall in the report period

E8=IF(A8="","",IF(AND(A8>=$B$4,A8<=$B$5),"Yes","No"))

Dates are numbers in Excel, so a date can be compared with the start and end of the period directly. AND requires both tests to be true. Change B4 and B5 to report on a term, a quarter or a school year; the In period column and every total that uses it update. In the sample, the August shifts and the November 1 shift fall outside September to October.

Hours in the period, per person and per program

C30=SUMIFS($D$8:$D$27,$B$8:$B$27,A30,$E$8:$E$27,"Yes")

SUMIFS adds hours that meet every condition at once: this volunteer, and inside the period. The program table on the right uses the same pattern with the Program column. A grant report or board update usually wants the period figure; the All hours column is for long-running goals like a graduation service requirement.

Who has met the hours goal

E30=IF(B30>=$B$2,"Goal met",IF(B30>=$B$2*0.75,"Almost there","Needs hours"))

The nested IF checks the highest band first. With a 20-hour goal, 20 or more is Goal met, 15 to 19.9 is Almost there, and anything below is Needs hours. Change B2 to your own requirement, or change 0.75 to move the Almost there line. Row 38 counts the volunteers who are done.

A dollar value for volunteer time

F30=ROUND(B30*$B$3,2)

Hours times the value per hour in B3, rounded to cents. Many organizations report this figure to boards and funders. Use the hourly value your organization or funder asks for (some publish a recommended rate each year); the 30 in the sample is only a placeholder. Whether volunteer time can count as in-kind support depends on the funder, so check before you put it in a budget.

FAQ

How do I track volunteer hours in Excel?

Log every shift on its own row with the date, the volunteer, the program and the hours. Then total each person with =SUMIF(names,person,hours), and add a date condition with SUMIFS when you need hours for a specific period.

How do I total hours between two dates?

Use SUMIFS with two date conditions, for example =SUMIFS(D8:D27,A8:A27,">="&B4,A8:A27,"<="&B5), or add a helper column that says Yes for dates in the period, as this template does, and sum the Yes rows.

Can students use this for service-hour requirements?

Yes. Set the goal in B2 to the hours your school requires, leave the report period wide enough to cover the whole requirement, and have a supervisor initial each shift on the printed log if your school asks for proof.
