Free playing time tracker for youth sports

For coaches who want to show every family that playing time is fair, and catch it early when it is not. Type the minutes each player played in each game. The tracker counts games played, total minutes and minutes per game, each player's share of all the minutes the team has had, and flags anyone well below a fair share. Game length and players on the field are input cells, so it works for basketball (5 on court), soccer (11, or 7 for small-sided), hockey or volleyball.

How the formulas work

Games played and minutes per game

L2=IF(J2=0,0,ROUND(K2/J2,1))

J2 counts the games with minutes above zero, so a game a player missed (left empty) does not drag their average down. Minutes per game is total minutes over games played. Ava missed game 2 and still averages 20.2 minutes in the games she was there for.

A fair share of minutes

Q4=ROUND(Q1*Q2/COUNTA(A2:A13),1)

A 40-minute basketball game has 5 players on court, which is 200 player-minutes to share. Split across a 12-player roster, a fair share is 16.7 minutes each. Change Q1 and Q2 for your sport and age group.

Share of the minutes available so far

M2=IF($Q$5=0,0,K2/$Q$5)

Q5 is game length times players on the field times the number of games with any minutes logged, the total the team has had to share. Each player's total over that is their share of all playing time. With 12 players, an even split would be about 8.3% each.

Flag players who need more time

N2=IF(J2=0,"",IF(L2<$Q$4*$Q$6,"Needs minutes",""))

A player is flagged when their minutes per game fall below a share of the fair number. With Q6 at 60%, the line is 10.0 minutes, so Kai (9.2) is flagged and Eli (10.8) is just over the line. Raise Q6 to tighten the rule. Players who have not played yet stay blank rather than flagged.

FAQ

How do I track playing time in Excel?

One row per player and one column per game, with the minutes played in each cell. =SUM across the row gives total minutes, =COUNTIF(row,">0") counts games played and total divided by games gives minutes per game.

How many minutes should each player get?

Multiply game length by the number of players on the field and divide by your roster size. In a 40-minute game with 5 on court and 12 players, that is about 16.7 minutes each. Your league may set its own minimum.

Can I use this for soccer or hockey?

Yes. Change the game length in Q1 and the players on the field in Q2, for example 60 minutes and 11 players, or 45 and 7 for small-sided soccer. The fair share and flags update.
