Free Excel monthly sales tracker by rep and region

For sales managers and owners who log deals in a spreadsheet and need a month-to-date view by salesperson and territory. Log each sale with its date, rep, units and price; the template looks up the rep's region, totals only the chosen month with SUMIFS, compares each rep with quota and with where they should be by this point in the month, and splits sales by region.

How the formulas work

Region looked up from the rep

C6=IF(B6="","",IFERROR(VLOOKUP(B6,$A$29:$B$33,2,FALSE),"Unknown rep"))

Each rep's region is set once in the rep table, and every sale picks it up with an exact-match VLOOKUP. Nobody has to type the region, so the region totals cannot be thrown off by a typo; a misspelled rep name shows Unknown rep instead.

Rep sales for the chosen month only

D29=SUMIFS($H$6:$H$25,$B$6:$B$25,A29,$A$6:$A$25,">="&$B$2,$A$6:$A$25,"<="&EOMONTH($B$2,0))

SUMIFS adds the amounts where the rep matches and the date falls between the first of the month in B2 and the last day, which EOMONTH(B2,0) works out. The September 30 sale in the log is left out of October. Change B2 to 2026-11-01 and the whole summary switches to November.

Pace through the month

B4=DAY(B3)/DAY(EOMONTH(B2,0))

The day sales are entered through, divided by the number of days in the month. On October 24 that is 77%, so a rep at 77% of quota is on pace. DAY(EOMONTH(...)) returns 28, 30 or 31, so it works for any month.

Status against quota and pace

H29=IF(E29>=1,"Hit quota",IF(E29>=$B$4,"On pace","Behind pace"))

Hit quota at 100% or more, On pace if the rep's % of quota is at least the share of the month gone, otherwise Behind pace. In the sample Brandon has already hit quota, Chen is just on pace and Alicia and Eli are behind.

Sales by region

D37=SUMIFS($H$6:$H$25,$C$6:$C$25,A37,$A$6:$A$25,">="&$B$2,$A$6:$A$25,"<="&EOMONTH($B$2,0))

The same month filter, with the looked-up region as the first condition. Share divides each region by the month total in H26, so the four regions add up to 100%.

FAQ

How do I sum sales by month in Excel?

Use SUMIFS with two date conditions: =SUMIFS(amounts,dates,">="&first_day,dates,"<="&EOMONTH(first_day,0)). It works without a helper column and handles months of any length.

How do I calculate % of quota?

Divide sales by quota, =D29/C29, and format it as a percentage. Compare it with the share of the month that has passed to see whether a rep is on pace.

Can a rep sell in more than one region?

In this template each rep belongs to one region. If reps sell across territories, replace the Region formula in column C with a typed region for each sale; the region totals keep working.
