Free content calendar template

For marketers and small teams who plan blog posts, emails and social content in one list. Add each piece with its publish date, channel, owner and status, and the template groups posts by week, flags anything past its date that has not gone out, warns when an idea is due within a week, and counts the month by channel.

How the formulas work

Group posts by week

G5=IF(A5="","",A5-WEEKDAY(A5,2)+1)

WEEKDAY(date,2) numbers the days Monday = 1 to Sunday = 7, so subtracting it and adding 1 always lands on the Monday of that week. Sort or filter by this column to see each week's workload at a glance.

Flag late and at-risk posts

H6=IF(A6="","",IF(F6="Published","",IF(A6<$B$2,"Late",IF(AND(F6="Idea",A6-$B$2<=7),"Needs a draft",""))))

Anything not published whose date is before the as-of date in B2 is Late; check whether it went out and update its status, or move the date. An item still at Idea stage within 7 days of publishing gets "Needs a draft". Change B2 when you review the plan; the flags follow.

Posts planned this month

B22=COUNTIFS(A5:A20,">="&DATE(YEAR(B2),MONTH(B2),1),A5:A20,"<="&EOMONTH(B2,0))

DATE(YEAR(B2),MONTH(B2),1) is the first of the month and EOMONTH(B2,0) the last day, so COUNTIFS counts every post dated in between. The sample plans 12 November posts; the two October rows are left out.

Counts by channel

B29=COUNTIFS($B$5:$B$20,A29,$A$5:$A$20,">="&DATE(YEAR($B$2),MONTH($B$2),1),$A$5:$A$20,"<="&EOMONTH($B$2,0))

The same month test with one more condition, the channel name in column A. It shows at a glance which channels are busy and which are thin: the sample has 3 November posts each on Blog, Instagram and Email but 1 on YouTube, and column C shows how many are still only ideas.

FAQ

How far ahead should a content calendar go?

Many teams plan a month in detail and keep a rough list of ideas for the following two months. Seasonal campaigns, like holiday gift guides, need a longer lead time because they also need design and approval.

Can I see the calendar as a monthly grid?

This template is a list, which is easier to sort, filter and count. For a grid view, insert a PivotTable with Week of as rows and Channel as columns, or upload the file to a tool that has a calendar view.

Does this content calendar work in Google Sheets?

Yes. Upload the .xlsx to Google Drive and open it with Google Sheets. COUNTIFS, EOMONTH, WEEKDAY and the rest work the same way there.
