How the formulas work

Labor cost includes drive time

H7=ROUND((D7+E7)*$B$3,2)

Hours on site plus drive time, times your cleaner cost per hour. If you pay drive time, it is a real cost of the job even though the client never sees it. Ana's 3.5 hours at Priya's plus half an hour on the road cost $98.

Profit per job

I7=F7-G7-H7

Price minus supplies minus labor. Sort or filter by this column to see your best and worst jobs; it is often the small, far-away clients at the bottom.

Paid hours per cleaner

B24=SUMIF($C$7:$C$20,A24,$D$7:$D$20)+SUMIF($C$7:$C$20,A24,$E$7:$E$20)

Job hours plus drive hours for each cleaner, added with two SUMIFs. It shows who is booked full and who has room, and it is the number to check before you add a client to someone's route.

Jobs under your target margin

B31=SUMPRODUCT(--(I7:I20<F7:F20*B4))

For each job, is profit less than price times your target margin? The -- turns TRUE and FALSE into 1 and 0, and SUMPRODUCT adds them. Here 7 of the 14 jobs miss a 50% target even though the week as a whole makes 50.5%, and B32 names the weakest: the rental turnover, $64.80 profit on $150.

FAQ

How do I calculate profit per cleaning job?

Subtract supplies and labor from the price: =price-supplies-(job_hours+drive_hours)*cost_per_hour. Counting drive time is what makes the number honest.

How do I total hours per cleaner in Excel?

Use SUMIF on the cleaner column: =SUMIF(C7:C20,"Ana",D7:D20) adds Ana's job hours. Add a second SUMIF on the drive hours column for total paid time.

What profit margin should a cleaning business aim for?

It varies with your market, wages and whether you are counting the owner's time. Set your own target in B4 from your overheads (insurance, software, vehicles, marketing) and track the weekly margin against it.
