Excel hyperlink not working: 7 fixes

Quick answer"Cannot open the specified file" means the link points at a path that no longer exists, usually because the file or the workbook was moved or renamed. Right-click the cell > Edit Hyperlink and point it at the file's new location. If typed web addresses stay as plain text, turn on File > Options > Proofing > AutoCorrect Options > AutoFormat As You Type > Internet and network paths with hyperlinks, or build the links with HYPERLINK.

1. "Cannot open the specified file": the file moved

A link to a file stores a path. When a file is renamed, moved to another folder, or the shared drive gets a new letter, the path leads nowhere and Excel shows that message.

Links to files in the same folder as the workbook, or below it, are usually saved as relative paths. Move the workbook and its linked files together, keeping the folder structure, and the links keep working. Move only the workbook, and they break. Links to other drives are saved in full, so they break when the drive letter or server name changes.

To fix one link, right-click the cell > Edit Hyperlink and browse to the file. To fix many that share a folder, set a Hyperlink base: File > Info > Properties > Advanced Properties, Summary tab. Relative links then start from that folder instead of the workbook's own location.

2. Typed web addresses stay as plain text

Excel turns a typed address into a link only when you type it into a cell and AutoFormat As You Type is on. A column of URLs pasted from another program or imported from a CSV stays as text.

Check the setting at File > Options > Proofing > AutoCorrect Options > AutoFormat As You Type > Internet and network paths with hyperlinks. For one pasted cell, press F2 then Enter to re-enter it. For a whole column, a HYPERLINK helper column is faster than editing each cell.

=HYPERLINK("https://portal.example.com/invoices/"&C2,C2)

Result: INV-1042

Shows INV-1042 as a clickable link to that invoice's page. Fill it down and every invoice gets its own link.

3. Spaces and symbols in the link

A web link with spaces or & in the file name often opens the wrong page or a "not found" error, because a browser expects %20 for a space and %26 for &. When you build links with HYPERLINK, encode the name with SUBSTITUTE. Replace & before spaces so you don't touch the %20s you've just added.

The text you see can stay readable: put the plain file name in HYPERLINK's second argument.

=HYPERLINK("https://files.example.com/statements/"&SUBSTITUTE(D2," ","%20"),D2)

Result: Harbor Cafe Oct 2026.pdf

Shows Harbor Cafe Oct 2026.pdf; the link behind it ends in Harbor%20Cafe%20Oct%202026.pdf. For Patel & Sons, SUBSTITUTE(SUBSTITUTE(D4,"&","%26")," ","%20") gives Patel%20%26%20Sons%20Oct%202026.pdf.

4. Links inside the workbook: # and renamed sheets

To link to a cell in the same workbook with HYPERLINK, start the address with #. Without it, Excel looks for a file called Q4 Orders. Sheet names with spaces need apostrophes around them, as in a normal formula.

Links made with Insert > Link > Place in This Document store the sheet name as text. Rename or delete the sheet and the link shows "Reference isn't valid." A safer target is a defined name: select the cell, type a name like Q4_Start in the Name Box, and link to that name. Names follow the cell when the sheet is renamed.

To link to a cell in another workbook, put the file in square brackets: =HYPERLINK("[C:\Reports\Budget.xlsx]Summary!A1","Budget summary").

=HYPERLINK("#'Q4 Orders'!A1","Go to Q4 orders")

Result: Go to Q4 orders

Shows Go to Q4 orders; clicking it jumps to A1 on the Q4 Orders sheet.

5. Email links that don't open

A mailto: link opens the default mail app. If clicking does nothing, Windows has no default mail app set: check Settings > Apps > Default apps. In web-only mail, the link may open the wrong app or none at all. A subject line goes after ?subject= and needs %20 for spaces too.

=HYPERLINK("mailto:"&B2&"?subject="&SUBSTITUTE("Invoice "&C2," ","%20"),"Email "&A2)

Result: Email Harbor Cafe

Shows Email Harbor Cafe; clicking it starts an email to [email protected] with the subject Invoice INV-1042.

6. Error messages when you click

"This operation has been canceled due to restrictions in effect on this computer" usually means Windows lost its default browser setting. Set a default browser again in Settings > Apps > Default apps, then restart Excel. On a work PC it can also be a policy, which only IT can change.

"Unable to open ... Cannot download the information you requested" happens with some sites that need you to sign in or redirect elsewhere, because Office checks the address itself before handing it to the browser. Copying the link into the browser works; IT can change the behaviour for everyone.

In Excel for the web, links to files on your C: drive or a mapped drive don't open; link to the file's OneDrive or SharePoint address instead.

7. Clicking selects the cell instead, or opens it when you don't want to

In Excel, one click on a link follows it. To select a link cell without opening it, click and hold until the pointer turns into a plus sign, or click a neighbouring cell and move with the arrow keys. To change a link, press Ctrl+K on the selected cell. If a HYPERLINK formula shows as text instead of a link, the cell is formatted as Text: set it to General and press F2, Enter.

HYPERLINK can't handle a link address longer than 255 characters; long tracking URLs then fail. Shorten the address or link to a page that redirects.

Common mistakes

Moving the workbook without the files it links to

Move them together, keeping the folders the same, or set a Hyperlink base for the new location.

Leaving out the # in an internal HYPERLINK

Write =HYPERLINK("#Summary!A1","Summary") so Excel looks inside the workbook, not for a file.

Spaces in a URL built with &

Replace them with %20 using SUBSTITUTE, and & with %26 first.

Linking to a sheet that later gets renamed

Link to a defined name instead; names survive a rename.

FAQ

Why does Excel say cannot open the specified file?

The link's path no longer exists: the file or workbook moved, was renamed, or the drive letter changed. Edit the hyperlink to point at the new location, or set a Hyperlink base for links that share a folder.

How do I make a column of URLs clickable in Excel?

Add a helper column with =HYPERLINK(A2) and fill it down, or press F2 then Enter on each cell to let AutoFormat convert it.

How do I link to another sheet in Excel?

Use =HYPERLINK("#'Sheet Name'!A1","Label") or Insert > Link > Place in This Document. Link to a defined name if the sheet might be renamed.

How do I stop Excel from creating hyperlinks automatically?

Untick Internet and network paths with hyperlinks in File > Options > Proofing > AutoCorrect Options > AutoFormat As You Type. Ctrl+Z right after typing undoes one automatic link.
