Excel filter not working: 7 fixes

Quick answerIf the filter misses rows, there's a blank row in the list: select the whole list (or delete the blank row) and turn the filter off and on again. If new rows aren't filtered, click Data > Reapply (Ctrl+Alt+L). If Filter is greyed out, the sheets are grouped or the sheet is protected.

1. Rows below a blank row are left out

When you click one cell and turn on Data > Filter, Excel filters the current region: everything down to the first completely blank row. Row 6 here is empty, so the filter covers only the four October orders above it. Filter for North and the orders below the gap stay on screen whatever you choose.

You can spot gaps with =ROWS(A2:A11)-COUNTA(A2:A11), which counts empty cells in the date column: 1 here. Delete the blank rows (the remove blank rows guide shows how), or select the whole list including everything below the gap before turning the filter on.

  1. Turn the filter off: Data > Filter.
  2. Delete the blank row, or select A1 down to the last row of the list.
  3. Turn the filter on again with Data > Filter (Ctrl+Shift+L).
=ROWS(A2:A11)-COUNTA(A2:A11)

Result: 1

1: one empty row inside the list.

2. New rows aren't included

A filter doesn't rerun by itself. If you add orders or change amounts after filtering, rows that no longer match stay visible and new matching ones may not appear. Data > Reapply (Ctrl+Alt+L) runs the same filter again over the current list.

If rows typed below the list still aren't picked up, turn the filter off and on with the whole range selected. The lasting fix is a table (Ctrl+T): a table grows as you add rows, and its filter always covers every row.

  1. After adding or editing rows, go to Data > Reapply.
  2. Or press Ctrl+Alt+L.
  3. To stop the problem, click in the list and press Ctrl+T to make it a table.

3. Filter is greyed out

Look at the title bar. If it says [Group], several sheets are selected and Excel turns Filter off for grouped sheets. Right-click a sheet tab and choose Ungroup Sheets.

On a protected sheet you can't add or change a filter unless the person who protected it ticked Use AutoFilter, and even then only on a filter that was already set up before protecting. Go to Review > Unprotect Sheet, or ask the owner.

Filter is also unavailable while you're editing a cell: press Enter or Esc first. And a sheet can only have one AutoFilter range. If another range already has one, convert the second list to a table, which gets its own.

4. Number filters skip some amounts

Two amounts here (980 and 1325) came in as text. They look like numbers, but a number filter such as Greater Than compares numbers, and text that looks like a number isn't one, so those rows don't filter the way you expect. The drop-down picks Number Filters or Text Filters from the most common type in the column, so a column that's mostly text offers Text Filters, which is a strong clue.

=SUMPRODUCT(--ISTEXT(D2:D11)) counts the text amounts: 2. Convert the column with Data > Text to Columns > Finish, then reapply the filter.

=SUMPRODUCT(--ISTEXT(D2:D11))

Result: 2

2: two amounts are stored as text, so number filters skip them.

5. Dates don't group by year and month

A date column with real dates shows a tree of years, months and days in the filter drop-down, plus Date Filters such as This Week or Between. Dates stored as text, like the 03.11.2026 and 05.11.2026 from this export, show up as a flat list of text values, and date filters leave them out.

=SUMPRODUCT(--ISTEXT(A2:A11)) finds two text dates. Convert them with the convert text to date guide (Text to Columns with the DMY date setting works for this pattern), then reapply.

=SUMPRODUCT(--ISTEXT(A2:A11))

Result: 2

2: two dates are text, so the date filter can't place them.

6. Clear, Reapply or turn it off?

Clear (Data > Clear) removes every filter condition but leaves the arrows in place, so all rows show again. Reapply reruns the current conditions on the current data. Filter (Ctrl+Shift+L) turns the arrows off completely, and the next time you turn it on Excel picks the range again, which is how you fix a range that was too short.

To clear a single column, use its drop-down arrow and choose Clear Filter From "Region". A funnel icon on the arrow tells you which columns are filtered, and the status bar shows something like "4 of 9 records found".

7. Or filter with a formula instead

In Excel 365 or 2021, =FILTER(A2:D11,D2:D11>500) shows matching rows in a separate place and updates on its own when the data changes, so there's nothing to reapply. A blank row in the source is simply skipped by the condition.

Text amounts are still a trap here, the other way round. In a formula comparison, any text counts as greater than any number, so "980">500 is TRUE, and so would be a text "120". The result below is right only because both text amounts really are above 500. Convert the column first and the formula is right for every row.

The filter with multiple criteria guide covers AND and OR conditions in one FILTER formula.

=FILTER(A2:D11,D2:D11>500)

Result: spills 8 rows × 4 columns

Spills 8 orders above 500, including the two text amounts, because text always compares as greater than a number.

Common mistakes

Turning on Filter with a blank row in the list

Delete blank rows or select the whole list first, or use a table.

Expecting the filter to update by itself

Press Ctrl+Alt+L (Data > Reapply) after editing, or use the FILTER function.

Leaving numbers or dates as text

Convert them before filtering; number and date filters don't treat text as numbers or dates.

Forgetting a column is still filtered

Look for the funnel icon on the arrows, or use Data > Clear to show everything.

FAQ

Why is my Excel filter not showing all rows?

The list has a blank row, so the filter stops above it. Delete the blank row or select the whole list, then turn the filter off and on again.

Why is the filter greyed out in Excel?

Sheets are grouped ([Group] in the title bar), the sheet is protected, or you're editing a cell. Ungroup the sheets, unprotect, or press Enter first.

How do I refresh a filter in Excel?

Go to Data > Reapply, or press Ctrl+Alt+L. It runs the current filter again over the current data.

Why does my filter not include new data?

The filter range was set when you turned it on. Reapply it, or turn it off and on with the whole list selected. A table includes new rows automatically.
