Excel chart not updating: 7 fixes

Quick answerA chart only plots its source range. If you added rows below it, click the chart, go to Chart Design > Select Data, and extend the range, or turn the data into a table (Ctrl+T) so the chart grows with it. If the numbers changed but the chart didn't, check Formulas > Calculation Options is set to Automatic.

1. New rows aren't in the chart

You made the chart in September from A1:B10. October's 24,300 went into row 11, and the chart stops at September. The range was fixed when the chart was made, so new rows outside it are ignored.

Click the chart: Excel outlines the source range on the sheet in color. Drag the corner handle of the outline down to row 11, or use Select Data. For a chart that keeps up on its own, click in the data, press Ctrl+T, and make sure the chart covers the whole table: new rows typed directly under a table become part of it, and the chart grows with them.

  1. Click the chart and go to Chart Design > Select Data.
  2. In Chart data range, select A1:B11 (or the whole column block) and click OK.
  3. Or convert the data to a table with Ctrl+T so the chart extends as you add rows.

2. The numbers changed but the chart didn't

If the chart's data comes from formulas and the formulas aren't recalculating, the chart shows old values too. Go to Formulas > Calculation Options and pick Automatic. Press F9 to recalculate right away.

Calculation mode is set by the first workbook you open in a session, so a file someone saved in Manual can switch every open workbook. The formula not calculating guide covers the rest of the causes.

3. A month drops to zero

April's 20450 came in from an export as text. A chart can't plot text, so April shows as zero: a line that dives to the axis or a missing column. Nothing warns you.

Count the text cells, then convert the column with Data > Text to Columns > Finish (or the green triangle's Convert to Number). The chart redraws as soon as the cells become numbers.

=SUMPRODUCT(--ISTEXT(B2:B11))

Result: 1

1: one sales value is text, so it's plotted as zero.

4. Blank cells, zeros and #N/A

June's sales are missing. An empty cell is shown as a gap by default; you can change that in Select Data > Hidden and Empty Cells to Zero, or to Connect data points with line, which bridges the gap.

The trap is a formula that returns "" to look blank. "" is text, not empty, so the chart plots it as zero. For a line chart, return NA() instead: a point with #N/A isn't drawn, so the line doesn't dive to zero. In Excel 365 the Hidden and Empty Cells box also has a Show #N/A as an empty cell option that controls whether those points leave a gap or get connected.

=IF(B2:B11="",NA(),B2:B11)

Result: spills 10 rows × 1 column

18400
17150
19800
20450
21300
#N/A
22900
23650
21980
24300

Spills the sales column with #N/A in June's row instead of a zero, ready to plot as a helper column. April stays text until you convert it.

5. Filtered or hidden rows disappear

By default a chart skips data in hidden rows and columns, and filtering a list hides rows. Filter the sales list to Q1 and the chart shows only Q1. Sometimes that's handy for a quick view, but it surprises anyone who hid a helper column the chart depends on.

To keep plotting hidden data, go to Select Data > Hidden and Empty Cells and tick Show data in hidden rows and columns.

  1. Click the chart and go to Chart Design > Select Data.
  2. Click Hidden and Empty Cells (bottom left).
  3. Tick Show data in hidden rows and columns, then OK twice.

6. The axis is wrong: years as a line, or dates with gaps

If your labels are numbers, such as years 2023, 2024, 2025 with a header above them, Excel can treat them as another data series and draw them as a line near the bottom. Delete the header text above the years (leave that one cell empty) before making the chart, or use Select Data > Horizontal (Category) Axis Labels > Edit and pick the year cells.

Real dates get a date axis that spaces points by time, so a list with only weekdays shows gaps for weekends. Right-click the axis, choose Format Axis, and set Axis Type to Text axis.

Excel stores each month here as a real date, so a monthly chart is fine. Before charting, =COUNT(B2:B11) is a quick check of how many values are real numbers.

=COUNT(B2:B11)

Result: 8

8: eight real numbers out of ten months. April is text and June is empty.

7. The chart in PowerPoint or Word doesn't update

If you pasted the chart as a picture, it's a snapshot and will never update. Paste it again with a link instead: in PowerPoint, Home > Paste > Paste Special > Paste link, or the Use Destination Theme & Link Data paste option. Linked charts update when you open the presentation, or with right-click > Edit Data or Chart Design > Refresh Data.

PivotCharts follow their PivotTable, so they only change after the pivot is refreshed (Data > Refresh All). The pivot table not working guide covers why a refresh might still miss rows.

Common mistakes

Adding rows below a plain range

Extend the range in Select Data, or base the chart on a table so it grows.

Using "" to blank out missing values

Return NA() for points a line chart should skip, or leave the cell truly empty.

Leaving text numbers in the data

Convert them; charts plot text as zero.

Pasting the chart as a picture

Paste with a link so it updates from the workbook.

FAQ

How do I make an Excel chart update automatically with new data?

Turn the data into a table with Ctrl+T and make sure the chart uses the whole table. Rows you add directly below the table join it, and the chart extends with them.

Why is my Excel chart showing zero for some values?

Those cells hold text, such as numbers stored as text or a formula returning "". Convert text numbers and use NA() for points you want skipped.

Why does my chart change when I filter?

Charts skip hidden rows by default. Turn on Show data in hidden rows and columns in Select Data > Hidden and Empty Cells.

How do I change the data range of a chart?

Click the chart, go to Chart Design > Select Data and edit Chart data range, or drag the colored outline handles on the sheet.
