How the formulas work

Hours worked per day

F2=IF(C2="","",MAX(0,ROUND(MOD(D2-C2,24)-E2,2)))

End minus start, minus the break. MOD(...,24) handles a shift that runs past midnight: 22 to 6 gives 8 hours instead of -16. MAX(0,...) stops a typo (a break longer than the shift) from producing negative hours, and the IF leaves days off blank.

Dates and weekday names fill themselves

B2=TEXT(A2,"ddd")

Type the Monday of the week in A2; each row below adds one day (=A2+1). TEXT with "ddd" shows the short weekday name, so you can see at a glance which day each row is. Use "dddd" for the full name.

Split regular and overtime hours

F12=MAX(0,F10-F15)

Anything above the weekly limit in F15 counts as overtime; MAX keeps it at zero in a short week. Regular hours in F11 are MIN(F10,F15), so the two always add up to the total. In the US, federal law requires overtime pay after 40 hours in a workweek, and some states (California, for example) also have daily overtime rules, so check yours.

Pay with an overtime multiplier

F19=ROUND(F12*F14*F16,2)

Overtime hours times the hourly rate times 1.5, rounded to cents. Change F16 to 2 for double time. Total pay in F20 adds regular and overtime pay.

FAQ

How do I calculate hours worked in Excel?

Subtract the start from the end and take off the break. With decimal hours, =D2-C2-E2 gives hours directly. With real time values, multiply the difference by 24 to turn a fraction of a day into hours.

How do I handle a night shift that ends after midnight?

Wrap the subtraction in MOD: =MOD(end-start,24) for decimal hours. When the end is smaller than the start, MOD adds 24, so 22 to 6 gives 8 hours.

How do I calculate overtime in Excel?

Overtime is the part of the total above the limit: =MAX(0,total-40). Regular hours are =MIN(total,40). Multiply overtime by the rate and the overtime multiplier, usually 1.5.
