Free Excel subscription tracker template

For anyone who suspects they pay for more apps, streaming services and memberships than they use. List each subscription with its price, how often it bills and the last charge date; the template works out the next renewal, turns every price into a monthly cost, warns you before renewals so you can cancel in time, and shows what cancelling the ones you marked No would save in a year.

How the formulas work

Next renewal from the last charge

F6=IF(E6="","",EDATE(E6,D6))

EDATE adds the billing period in months to the date you were last charged: 1 for monthly plans, 12 for yearly ones, 3 for quarterly. Copy the date from your bank or card statement. After the next charge, update Last charged and the renewal moves on a period.

Monthly cost, whatever the billing period

G6=IF(OR(A6="",D6<=0),"",ROUND(C6/D6,2))

Dividing the price by the months it covers puts yearly and monthly plans on the same footing. The $119.88 photo editing app is $9.99 a month, about the same as cloud storage, which is not obvious when one bills once a year and the other every month. The monthly total in C27 is the real cost of all of them.

Alerts before a renewal

I6=IF(F6="","",IF(F6<$B$2,"Check date",IF(F6-$B$2<=$B$3,IF(H6="No","Cancel before "&TEXT(F6,"mmm d"),"Renews "&TEXT(F6,"mmm d")),"OK")))

When the next renewal is within the warning window in B3, the alert says when it renews, and for anything you marked No it says Cancel before that date. In the sample the photo app renews on Nov 10 and the sports add-on and language app need cancelling by Nov 12 and Nov 14. Check date appears when the renewal is already in the past, which usually means a newer charge has not been entered.

What cancelling would save

C30=ROUND(SUMIF(H6:H25,"No",G6:G25)*12,2)

SUMIF adds the monthly cost of every row marked No and the result is multiplied by 12 for a yearly figure. C31 does the same for Maybe, so you can see how much is riding on the ones you are unsure about. A number like this is often what it takes to actually make the calls.

Spot the biggest subscription

C33=IFERROR(INDEX(A6:A25,MATCH(MAX(G6:G25),G6:G25,0)),"None")

MAX finds the highest monthly cost, MATCH finds its row and INDEX returns the name. It compares monthly costs, so a yearly plan is judged on the same basis as a monthly one. In the sample that is the gym.

FAQ

How do I track subscriptions in Excel?

List each subscription with its price, billing period in months and last charge date. EDATE(last_charge, months) gives the next renewal, and price divided by months gives a monthly cost you can total. This template adds a Keep? column and alerts before renewals.

How do I compare monthly and yearly subscriptions?

Convert both to the same period. Divide a yearly price by 12 for a monthly cost, or multiply a monthly price by 12 for a yearly one. The Monthly cost column does this for every row.

Does the tracker remind me automatically?

Excel does not send reminders. The alert column updates when you change the as of date (or use =TODAY()), so open the sheet once a week, or put the renewal dates in your calendar for the ones you plan to cancel.
