How the formulas work

Line totals that stay blank on empty rows

D11=IF(B11="","",ROUND(B11*C11,2))

Quantity times unit price, rounded to cents so the printed lines always add up to the subtotal. If the Qty cell is empty, the formula returns an empty string instead of $0.00, so unused rows stay clean. SUM ignores those empty strings.

Due date from payment terms

D5=D3+D4

Excel stores dates as day numbers, so adding 30 to the invoice date gives the date 30 days later. Change the terms to 14 or 45 and the due date moves with it. If the result shows a number like 46358, format the cell as a date (Home > Number Format > Short Date).

Tax on the subtotal

D20=ROUND(D18*D19,2)

Subtotal times the tax rate in D19, rounded to cents. Type the rate as a percentage (8.25%) or a decimal (0.0825); both store the same value. If you do not charge tax, set D19 to 0. Which items are taxable depends on where you and your client are, so check your local rules.

A payment line that writes itself

A23=IF(D23<=0,"Paid in full","Please pay "&TEXT(D23,"$#,##0.00")&" by "&TEXT(D5,"mmm d, yyyy"))

TEXT turns the balance and the due date into formatted text so they can be joined into a sentence with &. Without TEXT, the date would appear as a plain number. Once the balance reaches zero it says Paid in full.

FAQ

How do I make an invoice in Excel?

List your items with a quantity and unit price, multiply them for each line, SUM the lines into a subtotal, then add tax and subtract payments. This template already has all of those formulas, so you only replace the sample details.

How do I calculate the due date in Excel?

Add the number of days to the invoice date, for example =D3+30. Excel treats dates as numbers, so the result is a real date you can format any way you like.

Can I turn the Excel invoice into a PDF?

Yes. Use File > Save As (or Export) and choose PDF. In Google Sheets, use File > Download > PDF.
