How the formulas work

Reorder and Out of stock flags

H2=IF(A2="","",IF(C2=0,"Out of stock",IF(C2<=D2,"Reorder","OK")))

The nested IF checks the most urgent case first: zero stock is Out of stock, at or below the reorder level is Reorder, everything else is OK. The outer IF keeps empty rows blank. Pair it with conditional formatting (Home > Conditional Formatting > Highlight Cells Rules > Text that Contains) to color the flags.

Stock value per item

G2=ROUND(C2*F2,2)

Quantity on hand times unit cost. The total in C15 adds the column, which is the figure you need for a stock count or insurance. Use what you paid per unit, not the selling price.

Count items that need ordering

C16=COUNTIF(H2:H13,"Reorder")+COUNTIF(H2:H13,"Out of stock")

Two COUNTIFs, one per flag, added together. COUNTIF is not case-sensitive, so "reorder" would match too.

Estimate the reorder bill

C18=SUMPRODUCT((C2:C13<=D2:D13)*E2:E13*F2:F13)

The comparison gives TRUE (1) for every item at or below its reorder level and FALSE (0) for the rest. Multiplying by reorder quantity and unit cost and adding it up gives the cost of restocking only the flagged items.

Look up one SKU

C22=IFERROR(INDEX($H$2:$H$13,MATCH(B20,$A$2:$A$13,0)),"Not found")

Type a SKU in B20. MATCH finds its row in the SKU column (0 means exact match), INDEX returns the status from that row, and IFERROR shows Not found instead of #N/A for a SKU that does not exist. C21 returns the stock count the same way. INDEX and MATCH work in every version of Excel; in Excel 2021 or Microsoft 365 you can write the same lookup as =XLOOKUP(B20,$A$2:$A$13,$H$2:$H$13,"Not found").

FAQ

How do I track inventory in Excel?

List each item with a unique SKU, the quantity on hand, a reorder level and the unit cost. Then add formulas for stock value and a status flag, like this template does, and update quantities after each delivery or stock count.

How do I make Excel flag low stock?

Compare quantity with the reorder level in an IF formula, for example =IF(C2<=D2,"Reorder","OK"), and add conditional formatting to color the flagged cells.

Does the SKU lookup work in older Excel?

Yes. It uses INDEX and MATCH, which work in every version of Excel and in Google Sheets. If you have Excel 2021 or Microsoft 365, XLOOKUP does the same job with one function.
