Free Excel home maintenance schedule template

For homeowners who would rather not remember when the furnace was last serviced or the gutters cleaned. List each task with how often it repeats and when you last did it; the template works out the next due date, flags overdue and upcoming jobs, names the most urgent one and turns the cost of each task into a yearly budget and a monthly amount to set aside.

How the formulas work

Next due date from how often the task repeats

E5=IF(D5="","",EDATE(D5,C5))

EDATE adds whole months to a date and keeps the day of the month, so a filter changed on July 15 every 3 months is next due October 15. When you do a task, just type the new date in Last done and the next due date moves on.

Overdue, Due soon or OK

G5=IF(E5="","",IF(F5<0,"Overdue",IF(F5<=$B$3,"Due soon","OK")))

Column F is the next due date minus the as of date. Negative means the date has passed. Anything within the warning window in B3 (30 days in the sample) is Due soon, which gives you time to book a pro. In the sample the HVAC filter, furnace service, smoke alarm test and chimney sweep are overdue going into winter.

Turn each task into a yearly cost

I5=IF(OR(A5="",C5<=0),"",ROUND(H5*12/C5,2))

Cost each time times how many times a year it happens (12 divided by the months between). A $425 septic pumping every 36 months is about $142 a year. The total in C31 is a realistic yearly maintenance budget, and C32 divides it by 12 for a monthly transfer to savings.

Find the most urgent task

C33=IFERROR(INDEX(A5:A26,MATCH(MIN(F5:F26),F5:F26,0)),"None")

MIN finds the smallest days-until-due number, which is the most overdue task (or the next one up if nothing is overdue). MATCH finds which row it is on and INDEX returns the task name. It works on the day counts in column F rather than on the dates themselves.

FAQ

How do I calculate the next due date in Excel?

For an interval in months, use =EDATE(last_done, months). For an interval in days, add the days: =last_done+90. Format the result as a date if it shows as a number.

How do I make Excel highlight overdue tasks?

Compare the due date with today: =due_date<TODAY() is TRUE when overdue. Use that as a conditional formatting rule (Use a formula to determine which cells to format), or turn it into a status column with IF as this template does.

How much should I budget for home maintenance?

It depends on the age, size and condition of the home. Rather than relying on a rule of thumb, this template adds up the cost of your own tasks; add a line for a repair fund if you want a cushion for things that break.
